Watch for 3pm payroll changeover

Affecting CO and PAC -

Debriefs / journal deadline is 3pm on payroll day (15th or last day of month)

Payroll Reports

Correct upper/lower case formatting on Payroll report that goes to Lisa from FD & CO

Debug on student info page

Removed query debug code from the student info page ( was displaying query info on slow writes).

CO Observation time

In addition to writing the requested observation time to payroll, added the reported time to the observation survey itself.

PAC Fill in All Fields Questionnaire Request

Could you please add a feature when students are filling out the readiness questionnaire that prompts them to fill in any fields they’ve left blank when they hit “submit”? We’ve seen questionnaires (10300 and 10546, for example) where the student has left things blank, such as classes and best times to meet. Several weeks ago, we might have thought that was due to them hitting “enter” while filling out the questionnaire, but you’ve fixed that now, so we assume they’re just leaving things blank.

PAC AWOL questionnaire

Last week, {EID expunged} filled in the readiness questionnaire at the kiosk and is showing up as having completed the form. Can you find it? This happened with another student last week as well; both said they had hit the “submit” button. The other student Darcy had re-do the questionnaire during the walk-in session and it showed up in the queue then– but {EID expunged} is still in limbo. Thanks, KS.

“PAC full” response on questionnaire

It looks as if the PAC program is reaching capacity, and we were wondering if, when a student fills out a PAC questionnaire, you can deliver a message which states the following:

“The PAC program is currently full. If additional spaces become available, waiting  students will be accepted into the program. We have received your information, and will contact you if coaches are able to accept additional students.”

Payroll: “Save Entries” -> “Cancel” kicks me back to the front page (High)

Instead, can you just return me to the payroll entries I was just working on?

Even better, can we just have a button that saves the entries without going to the “Process Payroll” page? An “Update” perhaps?

For what it’s worth, I’d be happy with the former since the latter may lead to confusion.

Thanks,
Shane

Creation of DIT Equipment Checkout System (Low/Med)

(Mock-ups can be viewed at https://webspace.utexas.edu/sar489/UTLC/COLT_Layouts/)

For a mock-up of this see “COLT DIT Front Desk Example.pdf”

As far as cosmetic changes, can you make the labels for “student log-in,” and “tutor-login” bold or otherwise more visible at a glance?

We would like to replace our existing equipment checkout routine with an electronic version using COLT.

As you can see in the mock-up, this would be handled with a third “entry” dialog. Input would be the student’s/tutor’s EID and a unique code to signify what resource is being checked out. (I imagine 3 alphanumeric characters would be sufficient. I don’t anticipate us having more than 99 books or calculators in rotation at a given time!)

COLT would then essentially tag the tutor/student with additional information in the new Equipment column of the list of students/tutors logged in. If possible, the table should be made sortable by the Equipment column with the same functionality as other columns.

Ideally, if a user has a resource checked out, they will be unable to logout of the system without checking the resource back in. (Maybe just grey-out the logout box if the equipment cell is populated for that user.)

Let me know what you think or if you need any clarification,
Shane

Creation of a “DIT Work History” page (Med/High)

(Mock-ups can be viewed at https://webspace.utexas.edu/sar489/UTLC/COLT_Layouts/)

Ideally, this would be added to the existing tutor toolbox page. If not feasible, a link from tutor toolbox would work. See “COLT DIT work history section example.pdf” for Roshani’s mock-up of the page. (The “DIT Work Schedule” section is more of a nice-to-have rather than a must-have feature.)

The “Add” button for each section should link to an entry-adding page similar to the “COLT DIT work history example.pdf” at the same location. Dates would be entered in the same format as in payroll (YYYY-MM-DD). The Late,Absent,Eval section would probably be a drop-down box instead of a dialog box. If you prefer, giving each section (Absences, Lates, Evals) a separate “Add” button that linked to a specific entry addition page would be fine. (I can’t imagine much user-interaction difference between the two methods.)

Let me know if you need more info,
Shane
